The screen that you will see, on clicking security settings, will help you choose:

  1. The certificate you want to use for signing messages
  2. The certificate you want to use for encrypting e-mails
  3. Hashing algorithm.

Click Choose against signing certificate and choose certificate you want to use for signing messages (To view certificate click View Certificate button).

Click Choose against encryption certificate and choose the certificate you want to use for encrypting e-mail messages and attachments.

You can create different security settings and give these separate names to be used for different purposes.

The ‘Digital Signature’ settings section also allows you to define which type of hashing algorithm you want to use for the creation of your signatures (SHA-1, or MD5)

 2. Digitally Signing E-mail Messages

The process of digitally signing your email requires the use of your private key embedded in your certificate. MS outlook allows you two ways to configure signing of your messages:

a) Every time you send an e-mail (compose, reply to or forward a message)

 b) Only when you ask for it by clicking on the sign button.

Digitally Signing all outgoing Messages

1.Choose ‘Tools’ in Outlook menu bar
2.Choose ‘Options
3.Choose the ‘Security’ tab

Choose Add digital signatures to outgoing messages and click OK.   This will cause all outgoing messages to be digitally signed.

     Digitally Signing Individual E-mail Messages

To sign your e-mail messages individually, click the ‘Options…’ button after opening the  e-mail window:

Choose Add digital signature to outgoing message.

3.  Encrypting e-mail messages with Outlook

The process of encrypting messages so that only the recipient can decrypt them, requires the use of the recipient's certificate (containing his or her public key) in your address book. To get the recipient's certificate you can ask him to send you a signed e-mail first (which will contain certificate and his or her public key), or you can find the certificate online from Comtrust public directory (please refer to LDAP procedure.

You can encrypt your messages individually each time you want to send an encrypted message, or you can configure security options so that your messages will be automatically encrypted every time the recipient’s digital certificate is available in your address book.  This is done by following the instructions similar to Digital Signature but with selecting the encryption options  instead of signing option.

4. Saving Digital Certificates from signed message.

When you receive a signed encrypted message, you can save the digital certificate of that person in your address book. You first need to click on the signed icon

This will give you a screen with you more information about the certificate that was used for signing the email in se.

     1) Click the ‘View Certificate…’ button and you will be able to see the certificate.

2) Click on the ‘Details’ tab to go the next screen:

3) At this point clicking the ‘Copy to File…’ will store the certificate to a file that you can import by following the instruction on importing a downloaded digital certificate.
